Email signatures show images from a link: the logo or photo lives on the web, and your email app loads it when the message is opened. That keeps every email small, because the picture isn't attached each time. YourImageShare hosts the image for free and gives you the direct link signature editors ask for.

Get a Link for Your Signature Image

  1. Prepare the image. A PNG for a logo, a JPG for a photo, under 1 MB (see format and size).
  2. Upload it. Press Upload Signature Image and choose the file. Leave the expiry time empty so the link never stops working.
  3. Copy the direct link. When the upload finishes, open the Direct tab. The link ends in the file type, like https://yourimageshare.com/ib/AbC123xYz0.png.
  4. Add it to your signature in Gmail, an HTML signature or a signature generator, as below.

Add the Image to a Gmail Signature

  1. In Gmail, open Settings (the gear) ▸ See all settings ▸ General ▸ Signature.
  2. Select your signature, or create one, and click the Insert image button in the editor.
  3. Choose Web Address (URL), paste the direct link and select the image size.
  4. Scroll down and press Save Changes.

Other email apps differ: some let you paste an image URL, others only insert a file from your computer. For those, an HTML signature is the most reliable way to use a hosted image.

HTML Signatures and Signature Generators

Signature generators ask for an "image URL" or "logo URL": paste the direct link there. If you write the signature yourself, the image is a normal HTML tag with a fixed width and alt text:

<img src="https://yourimageshare.com/ib/AbC123xYz0.png" width="200" alt="Your Company" style="display:block;border:0">

Setting width keeps the logo the same size in every email app, and the alt text shows if the reader's app hasn't loaded images yet.

Best Format and Size for Signature Images

LogoPhoto / headshot
FormatPNG (keeps sharp edges and transparency)JPG
Width shownAbout 300 px or lessAbout 100 × 100 px
Upload atTwice the width shown, for sharp results on high-resolution screens
File sizeUnder 1 MB - ideally under 100 KB so it loads instantly

Why under 1 MB? Images under 1,024 KB keep their original PNG or JPG format here. Larger images are optimized to WebP, which some email apps - Outlook for Windows among them - don't display. A signature image should be small anyway.

Need to make it smaller first? Use the free image resizer or image compressor.

Frequently Asked Questions

Why host an email signature image instead of attaching it?
A linked image is loaded from the web when the email is opened, so it is not sent as an attachment with every message and the email stays small.
Which image format is best for an email signature?
PNG for logos and anything with text or a transparent background, JPG for photos. Keep the file under 1 MB so it keeps that format: some email apps, like Outlook for Windows, do not show WebP.
What size should a signature logo be?
Around 300 pixels wide or less for a logo, and about 100 by 100 pixels for a photo. Upload it at twice that size if you want it sharp on high-resolution screens, and set the display width in the signature.
Will the image link stop working?
No. Images are kept until you delete them. Do not set an expiry time when you upload a signature image.
Why does my signature image not show for some people?
Some email apps block images until the reader chooses to show them. Add alt text, such as your company name, so the signature still makes sense before the image loads.
